Here's we take a deep dive into the Nominated Supervisor Diary to see how it can be used to improve efficiency, memory and quality improvement in your service.
Day Pages of the Nominated Supervisor Diary
Quick Notes Box
This box is designed to be an open-ended quick notes section. It is flexible to be used in the way that best suits you. It could be:
- a quick note to yourself,
- a reminder,
- where you record key/important information you don't want to forget,
- staff communication - where they can leave a quick note for you,
- quality improvement notes or evidence jottings,
- daily reflections,
- or it simply could be a doodle box if you're someone whose hands need to be busy while you're on the phone.
Meetings/Orientations/Timesheets
This section logs the meetings or training scheduled for the day. Beyond serving as evidence for Assessment purposes, it helps you manage your responsibilities and those of your staff. It can also serve as a prompt to follow up with Educators for summaries or notes on their training to share with the rest of the team.
Smaller services may also use this space to record timesheets or the sign in or out of responsible leaders.
Community and Families
As a Nominated Supervisor, you're often the face of the service and the first person people deal with or the person they go to if they have a problem. Making sure you are clear on family communication can help you meet the needs of families and keep things running smoothly.
Record conversations and note down reminders on who you need to get in touch with and why. It's also a great place to manage walk-ins, tours and enquiries to make sure you follow up when needed.
One service even noted they use this section and the section below to note important emails they need to return so it doesn't get buried in incoming emails and forgotten about.
Notes and To Do

Weekend Spread of the Nominated Supervisor Diary
Personal Leadership Reflections on the Week
Here is where you stop to reflect on your own practice. Look back at your week and consider how you can improve your processes? Could meetings be better planned? Is there a balance of on the floor and off the floor time? Were you able to complete your daily tasks? Did families have their needs met?
Personal Leadership Goals on the Week
Based on your reflections, set goals for yourself for the following week. When you get to the next Weekend Spread, don't forget to reflect on whether you met these goals.
Weekly Checklist
This checklist can be considered a guide of the areas you should consider in your day-to-day management of the Service. If there is an area of compliance your Service isn't meeting for example, requirements for ECTs present were not met, how can you ensure this does not occur again in the future?
It's important not to get into the habit of just 'ticking and flicking' the checklist but rather using it as a guide to support your individual service.
Monthly Pages in the Nominated Supervisor Diary
You can capture your monthly staff meeting notes in the Meeting Notes page that is included every month. Start pre-planning the Agenda from your reflections, checklists, and notes on your operations throughout the month.
Use the monthly Notes page to record any other information you may need.
From the meetings or from your observations, set monthly professional goals and reflect on your progress. These can be an individual goal and reflection or one set during meetings for the team.
